Introduction
ESNE needs to take advantage of technology in an organized and strategic way in order to reap the most benefit, provide the greatest stability and security, and provide the most possible support to existing and future officers of the organization. Below is a brief sketch of technology challenges and an outline what we propose to do.
In the past, officers have used various home-grown solutions to try to maintain ESNE information. Often, these solutions work fine for that individual, but as officers change, the new officer often discards the previous system and ends up trying to recreate the wheel.
I propose we consider moving to a model that manages all of the organizational information on a common server that all of the officers can access remotely.
I also propose we consider moving to Free Software wherever possible.
Accounting
Currently there is no accounting software being used. The structure of the finances are known by the treasurer, but are not documentated anywhere.
ESNE needs to document the accounting practices and to acquire an accounting package to keep track of finances.
We are currently considering GnuCash, free software that could be installed on a server and accessed via the network.
Membership Database
Currently there are several intersecting lists of subscribers and members maintained by different people. David Wolff maintains one using Hypercard.
We are currently evaluating a system based on MySQL and phpMyAdmin that can be updated and queried via the network.
Domain Name
Bill Harris is the owner of the esne.net domain name. This domain name is used for http://esne.net/ and esperanto@esne.net
We should probably have separate officers as the administrative and technical contacts for the domain name, to facilitate its transfer if necessary.
Website
Bill Harris currently provides the web-hosting that serves http://esne.net/ and esperanto@esne.net Provided other officers were listed as administrative and technical contacts, if it were necessary to change hosting services, it would be possible to reconfigure the domain name to point at a different service.
Mailing List
The mailing list is provided using the Yahoogroups service. Steve Brewer is the owner with Jacob Schwartz as a moderator. Probably several people should be joint owners and moderators of the list.
Newsletter
Verda Lumo was published using Microsoft Word. Microsoft Word is not free software -- indeed the list price is in the hundreds of dollars. Moreover, documents are not portable across platforms and the software is not available on all platforms.
The first issue of Verdaj Folioj was published using TeX. Currently Jacob Schwartz is exploring Scribus, free software for page layout.
